Refund & Cancellation Policy

Refund & Cancellation Policy

Planning a journey to Tanzania involves careful coordination between lodges, guides, transportation providers, conservation authorities, and local communities. At Happytimes 2 Africa, we understand that travel plans can sometimes change unexpectedly, and we aim to handle cancellations, refunds, and booking adjustments with fairness, professionalism, and transparency.

This policy is designed to provide clear guidance regarding booking confirmations, cancellations, postponements, refunds, and travel interruptions while ensuring smooth communication throughout the process.

Booking Confirmation

A reservation is considered officially confirmed once:

  • The required deposit has been received
  • A confirmation invoice or travel agreement has been issued by Happytimes 2 Africa

By confirming your booking, you acknowledge and agree to the terms outlined within this refund and cancellation policy.

Cancellation by the Guest

If you need to cancel your trip, written notice should be provided as early as possible. Refund eligibility depends on the cancellation date and the services already secured on your behalf with lodges, airlines, guides, and park authorities.

Cancellation Terms:

  • More Than 60 Days Before Arrival: Most deposits are refundable, though administrative and bank transfer fees may be deducted.
  • 30–59 Days Before Arrival: Partial refunds may apply, but some accommodation, transport, or permit costs may already be non-refundable.
  • 15–29 Days Before Arrival: Up to 50% of the total trip cost may be retained due to confirmed supplier commitments.
  • Less Than 14 Days Before Arrival: Limited or no refund may apply because bookings and operational arrangements have already been finalized.

No-Show & Unused Services

No refunds will be issued for unused services resulting from personal travel decisions or missed arrangements, including:

  • Missed international or domestic flights
  • Late arrivals
  • Unused hotel nights
  • Unused safari activities or excursions
  • Voluntary early departure during the trip

Non-Refundable Services

Some travel services become non-refundable immediately after confirmation due to supplier and government regulations.

These may include:

  • Domestic or regional flight tickets
  • National park permits and conservation fees
  • Kilimanjaro climbing permits
  • Special event or holiday season reservations
  • Certain luxury accommodations and exclusive-use camps

Guests will always be informed in advance if any part of their itinerary falls under non-refundable conditions.

Trip Changes & Postponements

We understand that travelers may prefer adjusting travel dates instead of canceling entirely. Whenever possible, Happytimes 2 Africa will assist guests with flexible alternatives.

Possible Adjustments Include:

  • Date changes
  • Itinerary modifications
  • Postponements to future travel periods

Please Note:

  • Changes are subject to availability
  • Seasonal price differences may apply
  • Some suppliers may charge amendment fees

Early communication gives us the best opportunity to minimize additional costs and provide alternative arrangements smoothly.

Refund Processing

Approved refunds are generally processed within:

14–30 business days

Processing times may vary depending on:

  • International banking procedures
  • Payment methods used during booking
  • Third-party supplier processing timelines

Bank transfer fees, transaction charges, or currency conversion costs may be deducted where applicable.

Cancellation by Happytimes 2 Africa

In rare situations, Happytimes 2 Africa may need to modify or cancel a trip due to circumstances beyond reasonable operational control.

These situations may include:

  • Severe weather conditions
  • Government restrictions or advisories
  • Natural disasters
  • Political instability
  • Park closures or safety concerns

If this occurs, guests may be offered:

  • Alternative travel arrangements
  • Postponement opportunities
  • An appropriate refund where possible

However, Happytimes 2 Africa cannot be held responsible for independent travel expenses outside our direct services, including:

  • International flight costs
  • Visa expenses
  • Personal hotel reservations
  • Travel insurance claims

Travel Insurance

We strongly recommend comprehensive travel insurance for all travelers visiting Tanzania.

Insurance coverage should ideally include:

  • Trip cancellations and interruptions
  • Medical emergencies
  • Emergency evacuation services
  • Flight delays or disruptions
  • Lost or delayed luggage
  • Unexpected travel complications

Travel insurance provides valuable protection and peace of mind throughout your journey.

Force Majeure

Refunds and itinerary adjustments may be limited in situations beyond anyone’s control.

These may include:

  • Natural disasters
  • Epidemics or pandemics
  • Airline disruptions
  • Civil unrest
  • Government travel restrictions

In such cases, Happytimes 2 Africa will work closely with guests, lodges, airlines, and suppliers to find practical and fair solutions whenever possible.

At Happytimes 2 Africa, we strive to manage every cancellation request, refund inquiry, or itinerary adjustment with honesty, professionalism, and understanding.

Our goal is to provide clear communication and fair solutions while continuing to support the guides, conservation areas, local communities, and hospitality partners who make meaningful travel experiences across Tanzania possible.
